Privacy notice

Your attention is valuable. So is your trust.

This notice explains what ClarityMode collects through the ClarityMode app, beta early-access requests, AI services inquiries, and the Flow Time quiz, why we collect it, and the choices you have.

What we collect

For beta early access, we collect your first name, email, kind of work, and the planning struggle you describe. For an AI services inquiry, we collect your name, work email, company, optional role, workflow description, and desired outcome. Please do not include sensitive personal information or confidential client details. Flow Time information is described below.

How we use it

We use beta application answers to review fit with the current beta, understand users’ needs, and respond about early access and onboarding. We use AI services inquiry details to assess and respond to the proposed project. Submitting either form does not subscribe you to general marketing emails. Flow Time marketing updates require the separate optional checkbox.

How submissions are handled

Beta applications and AI services inquiries are stored in our WordPress database through Forminator. Forminator is configured to send a notification to the ClarityMode site administrator so the request can be reviewed and managed.

Your choices

You can reply to a ClarityMode email to request access to or removal of your submitted information. If you opted into marketing updates, you can unsubscribe using the instructions in those messages.

The ClarityMode app

This section covers the ClarityMode app at app.claritymode.ai.

We collect your account details (name, email address, and a password stored only as a secure hash), the projects, tasks, notes, captures, goals, journal entries, images and meeting files you add, and basic usage and error information needed to run and fix the service.

Google Calendar and Gmail

If you connect Google Calendar, ClarityMode reads events from the calendars you choose so your daily plan fits around your schedule, and adds, moves or removes only the work blocks it creates for you. We keep the minimum needed to do this: a snapshot of the events used for a plan you are reviewing, and the blocks ClarityMode added.

If you connect Gmail, ClarityMode shows your inbox so you can archive, reply and turn emails into tasks. To make Mail fast, ClarityMode keeps a copy of your inbox list (sender, subject, a short preview, date and labels) and the full text of your most recent inbox conversations, and updates it as your inbox changes. This copy is stored in our database, used only to show you your Mail, and deleted when you disconnect Gmail or delete your account. Emails you turn into tasks or captures are saved as those items.

Your Google access is stored encrypted. You can disconnect at any time in ClarityMode’s Settings or from your Google Account’s security settings.

Google API Services User Data Policy

ClarityMode’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

We do not use Google user data for advertising, we do not sell it, we do not allow people to read it except with your permission, for security, or to comply with the law, and we do not use it to train generalized AI models.

AI features

When you use AI features, for example planning your day, chat, or turning an email or meeting into tasks, the relevant content, which can include calendar events or email text, is sent to our AI provider, Anthropic, to produce the result. Anthropic processes it on our behalf under terms that do not allow it to train its models on this data.

Connected AI tools

If you connect an AI tool such as ChatGPT or Claude to ClarityMode (Settings → Integrations → AI tools), that tool can read the projects you can open, including projects others have shared with you, your Today and weekly plans, your goals, your Capture inbox and journal entries you haven't marked private. It can also make changes for you, such as adding or completing tasks or saving meeting notes. Information it reads is sent to that tool's provider (for example OpenAI or Anthropic) and handled under your agreement with them and their privacy policy, not ours. Connected AI tools can't read your email or calendar through ClarityMode. You choose whether to connect, every change they make is noted in the project's Logbook, and you can disconnect at any time in Settings, which stops their access immediately. If you share a project, people you share it with may connect their own AI tools, which can then read that project.

Service providers

Railway (app hosting and database), Anthropic (AI features), Resend (account emails such as password resets and invitations), and Google (Calendar and Gmail, when you connect them). Each processes data only to provide its service to ClarityMode.

Security

Data is sent over encrypted connections. Google connection tokens are encrypted at rest, and database backups are encrypted. Only the ClarityMode administrator can access the production system, and only to support you, keep the service secure, or comply with the law.

Your choices in the app

You can export your data from Settings. To delete your account and data, email amin@claritymode.ai. Disconnecting Google removes ClarityMode’s access immediately. Disconnecting an AI tool does the same.

ClarityMode Capture for Chrome

When you use ClarityMode Capture for Chrome, you choose what to capture: selected text, a link, the current page's title and URL, pasted or chosen images, or a screenshot of the visible source webpage. A preview lets you edit the title and details and remove images. Content is sent to ClarityMode only after you choose Save, Create task or Save project note. We retain the original selected text, edited title and details, source URL, capture time and identifier, and any images you save. The extension does not scan pages in the background or read Chrome's browsing-history database.

The extension stores your connected account's email and identifier, a private connection credential and short-lived pairing state in trusted local Chrome extension storage. Drafts, waiting captures including images, and a cache of authorized project and area titles are stored in a local browser database on your device. Chrome sync storage is not used. Waiting captures retry while Chrome is running and stay bound to their original account. After confirmed upload, the queued content is removed and up to 30 recent confirmation records remain. Unsent drafts remain locally until saved or removed with the extension or browser profile. Uninstalling deletes local unsent data, not content already saved to your account.

Capture requests use HTTPS to app.claritymode.ai. The server stores only a hash of the extension credential. Older Organize-only connections cannot read project destinations or submit images. Explicitly approving project and image access permits reading authorized project/area titles and creating captures, tasks, project notes and images. The credential cannot read task contents or emails. Connections expire after 30 days and can be revoked in Settings > Integrations. Revocation stops uploads without erasing waiting local captures or previously saved account content.

For abuse prevention, the server processes the network IP address of account-linking requests and retains hashed rate-limit keys that expire after a minute. The extension does not request device GPS or geolocation access.

Saved captures are hosted with ClarityMode's existing service providers. Saving does not call an AI provider; the AI section of this notice applies if you later use AI features with saved content. When you explicitly save or organize a capture into a shared project, its source link, edited item and saved images become visible to authorized project members. The separately retained private original selection is not exposed by that action.

ClarityMode's use and transfer of data received through this extension complies with the Chrome Web Store User Data Policy, including its Limited Use requirements. We do not sell this data or use it for advertising or creditworthiness decisions. Human access is limited to your explicit consent for specific data, necessary security investigations, legal obligations, or aggregated and anonymized internal operations as allowed by that policy.

For questions or account-data deletion requests, contact amin@claritymode.ai. Disconnecting or uninstalling the extension does not itself delete data already saved to your account.

Flow Time quiz

When you request a Flow Time result, we store your first name, email address, quiz answers, timing profile, and result to provide the service and understand audience interests. Age range and home circumstances are optional through the “Prefer not to say” choices. These selections personalize recommendations and never change your score.

We use your email to send the result you request. Occasional ClarityMode marketing updates require the separate, optional checkbox. We record that choice with the submission. If a lead-integration webhook is enabled, only opted-in submissions are sent to the configured service.

If AI personalization is enabled, quiz preferences and demographic selections may be processed by the selected Gemini (Google) or Claude (Anthropic) API. We do not include your first name or email in those AI requests. The quiz explains when AI personalization is enabled, and uses built-in guidance when it is unavailable.

Flow Time records are held in our WordPress database and are scheduled for deletion after 365 days by default. You can request access or deletion using the contact details in this policy. We use short-lived, salted hashes for abuse prevention; Flow Time does not store raw IP addresses in lead records. Our hosting provider may maintain its own security logs.

Flow Time is a science-informed reflection tool with adapted questions and prototype scoring, not a medical assessment or a validated rMEQ administration.
